- Patient references: patient reference numbers and names provided by clinics for scan requests
- Scan data: file uploads (STL, images) related to dental cases
- Operational data: visit assignments, status updates, and timestamps
2. How We Use Your Information
We use your information to operate and improve the Scanner platform:
- To create and manage your account and assign appropriate role-based access
- To process scan requests, assign operators, and track case progress
- To facilitate lab ordering between clinics and dental labs
- To handle wallet transactions and billing
- To communicate service updates, appointment reminders, and support messages
- To maintain platform security and prevent unauthorized access
3. Data Sharing
We do not sell your personal information. We share data only in the following circumstances:
- With partner labs: When a clinic places a lab order, relevant case information and STL files are shared with the assigned lab for production purposes
- With operators: Clinic name, address, and patient reference information is shared with assigned field operators for visit coordination
- Service providers: We use third-party services for authentication (Firebase Auth), database hosting, and file storage. These providers process data only under our instructions and in compliance with applicable data protection laws
- Legal requirements: We may disclose information when required by law or to protect our rights and safety
4. Data Security
We implement standard security measures including encrypted authentication, role-based access control, secure file storage, and regular access audits. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.
5. Data Retention
We retain your account information for as long as your account is active. Scan data, case records, and transaction history are retained for operational and legal compliance purposes. You may request account deletion by contacting us.
6. Patient Data
Scanner processes patient reference information provided by clinics. Clinics are responsible for obtaining patient consent before submitting scan requests that include patient-identifying information. Scanner acts as a data processor on behalf of the clinic.
7. Your Rights
You have the right to access, correct, or delete your personal information. You may update your account details through the platform or by contacting us directly. Account approval and role assignment are managed by platform administrators.
